Document Control Specialist
Summary:
The Documents Control position is assigned to the management of documentation, for both hard and soft copy documents. The Document Control position reports to the Documents Controls Manager and generally supports all users of the document control system and related documentation.
Primary Responsibilities:
Working within the Program Controls Group to insure that documents are properly received, logged in and entered into the document control system.
Assist assigned group with taking minutes, formatting and issuing minutes after review and approval.
Assist project managers and other team members by maintaining all project documents such as correspondence, meeting minutes, reports, drawings, specifications, approvals and related items in the document control system.
Assist projects managers in the prompt retrieval of documents.
Assist with file migrations to permanent storage locations.
Maintain the confidentiality and the careful handling required in managing various documents.
Perform audits and other administrative tasks as needed
Maintain program wide document templates for standard correspondence, transmittals and forms.
Prepare and distribute document control reports as necessary.
Update and maintain project information in spreadsheets and databases as necessary.
Experience:
Some knowledge of the construction industry with strong written communication skills.

Technical:
Project Management Applications are a plus such as Egnyte, ProjectWise, e-Builder, Newforma or Bluebeam
MS Office skills (Word, Excel and PowerPoint)
Professional:
Strong, documented skills in areas of organization, problem-solving and personal interactions
Strong writing skills to summarize meetings within minutes template
Ability to learn new software quickly
